Privacy policy

You choose where transcription happens. Offline mode processes audio on your device. Optional online transcription sends selected audio directly to your chosen provider. Vocatim has no user accounts and no developer-operated backend that receives your recording content.

1. Information handled by Vocatim

On-device content

Recordings, transcripts, notes, local AI summaries, speaker labels, attachments, and search data are stored in the app's private storage on your device. Offline speech recognition and the built-in local AI tools run on your device after the relevant models are downloaded. This content is not sent to the Vocatim developer.

You can explicitly move content out of the app by sharing or exporting it, choosing a backup destination, using online transcription, or enabling optional Cloud AI. Android system backup is limited to non-sensitive app settings; recordings, transcripts, backup passwords, API keys, and purchase entitlements are excluded.

Advertising in the free version

The free version uses the Google Mobile Ads SDK (AdMob). To provide, measure, secure, and limit ads, Google may collect or share:

Google processes this data under its own terms and policies. The developer may receive aggregated advertising reports, but does not receive recordings, transcript text, or notes through AdMob. Read how Google uses information from apps that use its services.

Where required, Vocatim uses Google's User Messaging Platform to request advertising choices before making an ad request. Depending on your region and choice, Google may serve personalized, non-personalized, or limited ads. Available ad privacy choices can be reopened from Vocatim Settings.

Buying Remove ads or owning the retired Vocatim Lifetime product prevents Vocatim from making further ad requests after Google Play confirms the entitlement.

Google Play Billing

Google Play processes Remove ads purchases. Vocatim receives the purchase status and product identifier needed to grant the ad-free entitlement. We do not receive payment card details.

Optional online audio transcription

If you select online transcription and configure your own Groq or OpenAI API key, Vocatim uploads the selected recording directly from your device to that provider over HTTPS for speech-to-text processing or supported translation to English. The provider receives the audio, your API authentication, selected model and language options, and ordinary network metadata such as your IP address. Audio may be compressed and divided into segments to handle long recordings. A local copy remains on your device.

Online processing requires internet access and is governed by the selected provider's terms, privacy policy, retention settings, quotas, and charges. An in-app Remove ads purchase does not pay for provider usage. Review Groq's privacy policy or OpenAI's privacy policy before sending audio. Do not assume that online audio stays only on your device. Choose an offline model to transcribe locally instead.

Online transcription settings and API keys are stored in the app's private secrets storage, excluded from Android backup and Vocatim encrypted backups, and can be cleared in Settings. API keys are sent only to the selected provider to authorize its requests, not to the Vocatim developer.

Optional Cloud AI for transcript text

Cloud AI is off by default. If you configure a provider and API key, Vocatim sends only the transcript text you choose directly from your device to that provider for the requested summary, question, or translation. Your use is governed by that provider's privacy policy.

The provider URL, model selection, and API key are stored in the app's private storage and excluded from Android backup and Vocatim encrypted backups. They are never sent to us and can be removed in Settings.

Model downloads

Internet access is used to download speech or local AI model files you select. The host receives ordinary network information such as your IP address and request metadata. Recordings and transcripts are not included in model download requests.

Vocatim stores content on your device until you delete it. Deleting a transcript permanently removes its stored transcript and associated audio after it leaves Trash. Clearing online transcription or Cloud AI settings removes the respective provider configuration and API key. Uninstalling removes app data according to Android's uninstall behavior. Exported files and backups in destinations you chose must be deleted separately.

Google and online processing providers retain data according to their own policies and your provider account settings. Deleting a recording or clearing a key in Vocatim does not request deletion from a provider. We cannot delete data held directly by those third parties; use their privacy controls or contact them.

4. Security

Vocatim uses Android private storage, optional device authentication, optional screenshot blocking, and password-protected AES-256 encrypted backups. These backups include transcript text, titles, and settings, not audio files or API keys. Online transcription uses HTTPS to the supported provider. No storage or transmission method is guaranteed to be completely secure.

5. Children

Vocatim is not directed to children under 13. If you believe a child has provided information to an advertising or Cloud AI provider through Vocatim, contact us and the relevant provider.

6. Changes

We may update this policy when Vocatim's features, SDKs, or legal obligations change. The effective date above identifies the latest version.
